Music Awards Lesotho Pty LTD (“we”, “us”, “our”) runs the Lesotho Music Awards and this website, www.lesothomusicawards.com. This policy explains exactly what personal information we collect, why, and what your choices are.

1. What we collect, and why

Award entries

When you (or our team, on your behalf) submit an entry, we collect your full name, artist name, email address, phone number and a link to your work. We use this to administer your entry, contact you about its status (for example the “application received” and “application approved” emails), and to run the awards. Every submission gets a reference number you can quote in enquiries.

Accounts and artist profiles

If you create an account we store your name, email address and a securely hashed password (we never see or store your actual password). Verified artists can add a bio, a public contact email and a profile photo — that profile content, together with nomination and award history, is published on the website; that is its purpose. Judges' scores are confidential and used only to compute results.

Voting

Voting is anonymous. We do not store your IP address or identity with your vote. To enforce fair daily limits and detect vote manipulation, each vote stores a one-way cryptographic fingerprint derived from your network address and browser signature — it cannot be reversed to identify you. A small cookie on your device also remembers how many votes you have cast in a category in the last 24 hours.

Contact form

When you message us we collect your email address, subject and message so we can reply.

Analytics — only with your consent

If you accept analytics cookies, Google Analytics collects usage information (pages visited, approximate location, device type) to help us improve the site. If you choose “Essential only” in the cookie banner, no analytics run at all. See our Cookie Policy.

Security and administration

Actions taken by our staff in the admin area (such as approving entries or adjusting results) are recorded in an audit log together with the staff member's IP address, so every decision about the awards is accountable.

2. What we don't do

We do not sell, rent or trade your personal information. We do not send marketing email — the only emails you receive from us relate to something you did: an entry, a profile claim, a judging assignment or an enquiry.

3. Who we share data with

• Service providers who host the website and deliver our email (sent from info@lesothomusicawards.com), acting on our instructions only.
• Google Analytics — only if you consented to analytics cookies.
• Meta (Facebook) — our homepage embeds our Facebook page; when it loads, Facebook may set its own cookies under its own policy.
• The public — nominee and winner names, works and artist profiles are published as the official record of the awards.

4. How long we keep it

• Entries, nominations and results form the permanent historical record of the awards.
• Account data is kept while your account is active and deleted on request.
• Vote fingerprints are kept for the season and a reasonable audit window afterwards, in case results are disputed.
• Contact messages are kept for up to two years.

5. Your rights

You may ask us to access, correct or delete the personal information we hold about you by writing to info@lesothomusicawards.com. Verified artists can edit their own profile at any time from the “My Profile” page. Note that published award results (winner and nominee listings) form the official record of the awards and are not deleted, though we will remove or correct other personal details on request.

6. Security

Data travels over encrypted connections (HTTPS). Passwords are hashed, voter identities are stored only as irreversible fingerprints, admin access is role-restricted, and privileged actions are audit-logged.

7. Children

The website is not directed at children under 13 and we do not knowingly collect their personal information. If you believe a child has provided us personal information, contact us and we will delete it.

8. Changes and contact

We may update this policy; changes appear on this page with a new effective date.
